Managing Your Meet
Opening a meet takes you to its detail page, your central hub for everything related to that meet. The layout is the same across all statuses, but the available actions differ based on where the meet is in its lifecycle.
Header
The meet name, date, venue, and sport type appear at the top of the page. Two edit options are available here:
- Edit (top right of the header) updates the meet name and venue
- Edit dates updates the meet's start and end dates
Meet Status and Actions
The current status is displayed as a badge in the header. Next to it, a Change Status dropdown shows the valid transitions available from the current state.

Each transition shows a confirmation step before applying. Close Meet triggers the wrap-up email and data cleanup process, though the meet can be reopened if needed.
Live Metrics
The metrics panel updates based on meet status.
Active meets show two real-time counters:
- Devices — the number of devices currently subscribed to at least one event
- Notifications Sent — the total push notifications sent since activation
Closed meets show a full post-meet summary:
- Max Subscribers — peak number of subscribed devices during the meet
- Push Deliveries — total notifications delivered
- Race Calls — total race call notifications sent
- Announcements — total general announcements sent
- Calls by Type — breakdown by call type: First, Second, Final, First and Final, Second and Final
- Peak Hour and the date and time the meet was closed
When a meet is closed, SecondCall will send you a post-meet wrap-up email with the same stats summary, a note confirming that meet data has been cleared per SecondCall's zero-retention policy, and a link to create your next meet.
If your meet date has passed but the meet hasn't been closed yet, SecondCall will send you a reminder to close it out. Closing the meet triggers the wrap-up summary and starts the data cleanup process.
Access Codes
The Access Codes section shows the three role codes for your meet. Share each code with the appropriate person. The link opens their dashboard view directly.

For each code you can:
- Copy Code — copies the access code to your clipboard
- Copy Link — copies a direct link that pre-fills the code on the dashboard login
- Share — opens your device's share sheet
- QR Code — generates a scannable QR code you can display or print
- Revoke — immediately invalidates the code and generates a new one. Use this if a code gets into the wrong hands. You will need to redistribute the new code to your staff, but it is the fastest way to lock out unauthorized access.
The Operations code also has a Launch button that opens the meet day control screen. This is your primary view on meet day: real-time stats, a live list of connected official stations, and the ability to log in as the announcer or an official. You can also process requests sitting in the announcer queue directly from this screen. See the Operations guide for a full walkthrough of everything available on that screen.
Events
The Events section lists every event in your meet. Each row shows the event name and the number of heats configured.
- Use the expand toggle at the top right to view events grouped by age or gender. In expanded view, you can merge events. For example, combining the 11-12 and 13-14 Girls 3000m into a single race if fields are small.
- Click + Add Event at the bottom of the list to add an event that wasn't included during setup.
Note: Removing events or restructuring age groups and divisions is not currently supported after initial setup. Contact hello@secondcall.app if you need help with significant schedule changes.
Meet Summary
The Meet Summary section is an overview of how your meet was configured during setup.
Meet Setup (read-only)
- Sport (Track and Field or Cross Country)
- Age Structure
- Gender Terms
- Number of events
These fields reflect your wizard selections and cannot be edited after creation.
Configuration (editable)
- Staging Term — the term used in all notification text (e.g. "check-in," "staging area," "bullpen"). Click Edit to change it.
- Escalation Threshold — how long an event request can sit unanswered before the stale request alert fires. Click Edit to change it.
Description and Links
This section contains the meet information that app users see: parking details, facility info, rules, and any relevant resources. Click Edit to update the rich text content.
Links appear as tappable buttons in the app, each opening in the phone's external browser. Examples: Athletic.net meet page, parking map, course map PDF. Click Edit in the Links section to add, remove, or reorder links.
The number of links currently saved is shown next to the section header (e.g. Links (3)).
Your Meets (Sidebar)
The right sidebar shows your full meet list for quick navigation. The currently open meet is highlighted. Click + New to start creating a new meet without returning to the dashboard home.
